1. Who we are

Rense (“Rense,” “we,” “us”) is a sales coaching and CRM product operated by Tandela, Inc. This Privacy Policy applies to the Rense mobile app, website, and related services (together, the “Service”). If you have questions, contact us at info@rence.ai.

2. Information we collect

We collect only what we need to provide the Service:

• Account, workspace & contact information. Your name, email address, sign-in credentials, and the organization, workspace, and contact records used in the Service.
• Audio recordings. When you choose to record a conversation, the app captures audio through your device's microphone and stores it so you can review and work with it.
• Transcripts & derived content. We transcribe your recordings to text and generate coaching notes, summaries, and suggestions from that content.
• Information necessary to operate the app. Limited technical data (such as log and error information) needed to keep the Service secure and working.

3. Recording & your microphone

Rense only accesses your microphone when you explicitly start a recording, and iOS will ask for your permission before the app can do so. You can revoke microphone access at any time in your device settings.

You are responsible for recording lawfully. Recording laws vary by location, and some require the consent of everyone being recorded. You agree to obtain any consent required before recording a conversation.

Your organization may make workspace customer content available to people it authorizes under its account settings and policies, including recordings, transcripts, and CRM records. Do not record a conversation unless you have the authority and any required consent to do so.

4. How we use your information

• To provide, maintain, and secure the Service and your account.
• To transcribe recordings and generate coaching, summaries, and next-step guidance.
• To power AI-avatar practice sessions and pipeline coaching features.
• To respond to your support requests and communicate about the Service.
• To comply with legal obligations and enforce our terms.

5. AI processing and service providers

We use service providers to deliver Rense's features. These currently include:

• ElevenLabs, for audio transcription and voice features.
• Amazon Web Services (AWS), including Amazon Bedrock, for cloud hosting, storage, AI processing, analysis, coaching, and service compute.
• PostHog, for product analytics and feature flags.
• Sentry, for error and performance monitoring.

These providers process data as needed to provide their services to us. We do not sell your personal information, and we do not use your recordings or transcripts for advertising.

6. How we share information

We share your information only: with the service providers described above; within your organization and with people it authorizes according to its settings and policies; when required by law or to protect rights and safety; and in connection with a merger, acquisition, or sale of assets. We never sell your personal data.

7. Data retention

When you delete your account, we delete the account and associated personal data. We also revoke active sessions and credentials. We retain information only where we are legally required to do so.

8. Your rights & choices

Depending on where you live, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. You can:

• Delete individual recordings and transcripts directly in the app.
• Delete your account and associated personal data from the app, or request deletion by emailing info@rence.ai from your account email address.
• Contact your workspace administrator about workspace content, or contact us at info@rence.aiabout Rence-controlled data.

9. Security

We use encryption in transit and at rest, access controls, and other safeguards to protect your data. No system is perfectly secure, but we work to protect your information and to promptly address any issues.

10. Children

Rense is a business product intended for adults and is not directed to children. We do not knowingly collect personal information from children under 13 (or the minimum age in your jurisdiction). If you believe a child has provided us data, contact us and we will delete it.

11. Changes to this policy

We may update this policy from time to time. When we make material changes, we'll update the date above and, where appropriate, notify you in the app or by email.
